As HR Assistant, you will provide administrative support to the HRM function and provide comprehensive HR Administration and support to the Company across all aspects of HR. As well as, working closely with the HR Advisor (Support services) and HRBPs to ensure a high quality of HR Service is delivered to the business and external customers.
The Role:
General HR Administration –
- To be first point of contact for any HR Queries
- To provide a professional and confidential service for all stakeholders within specified deadlines
- To include contracts of employment, new starter packs, sending application forms
- Prepare and regularly audit personnel files
- Ensure data entry is completed to an accurate and high standard
- Assist with the inductions for all new starters ensuring all required information is gathered along with the necessary right to work checks
- Process leavers, advising the necessary parties (e.g., IT, pension providers)
- Monitor and record PDR completion
- Pension processing
- Provide administration support for the IET accreditation scheme within R&D
- Provide administration support for the E3 sponsorship program
- Ensure Occupational Health provision is efficiently managed, arrange monthly clinics, annual Wellbeing sessions, annual health assessments (lung function, blood leads, etc.), send referrals and deal with reports.
- Raising purchase orders on the procurement system
Ensure the relevant HR database is up to date, accurate and complies with legislation –
- To update the personnel database with up to date and accurate information that is in line with annual audits.
- Ensure all personal information is kept safe and confidentialin line with GDPR
Assist in the recruitment process –
- Send acknowledgements to candidates
- Arrange interviews via telephone or email (with candidate and interviewing panel)
- Send confirmation of interviews
- With the guidance of the HR Officers/Advisors, liaise with external provider to ensure the timely application and processing of visa requests where required. Prepare claw back agreements for employees in respect of company funded visa applications.
- Monitor visa expiry dates
Learning & Development responsibilities –
- Co-ordination of training courses
- Apprentice program co-ordination to include communicating with outside providers
- Assisting with various internal training programs
- Schedule training, sending invites and booking training rooms as required
- Evaluate the success of training using feedback forms
- Assist with the development of internal training programs
- Prepare claw back agreements for employees in respect of company training
The Candidate:
- Demonstrates strong initiative, proactive planning, resourcefulness, problem-solving abilities and heavily focused on customer service
- Ability to maintain strict confidentiality
- Attention to detail and exceptional organisational skills
- Flexibility and ability to work off own initiative
- Outstanding written and verbal communication skills and can demonstrate responsive communication
- Extremely professional and with the ability to develop working relationships across all levels
- Advanced MS Office Skills (Outlook, Word, Excel, PowerPoint)
Desirable:
- Experience of working in an Administration environment
- Have the confidence and ability to manipulate and scrutinise data from Excel.
