Despatch and Export Admin
My client, a leading Forest of Dean based manufacturing business are seeking a Despatch and Export Admin to ensure effective and efficient despatch of UK and Export orders in line with company standards, including accurate export documentation for export orders. Despatch and Export Admin Key Responsibilities
Responsible for monitoring of pick screen, printing and verifying picking lists against customer order on SAP, liaising with Contracts and checking the customers purchase order for any special packing or delivery site requirements.
Responsible for allocating pick slip to packers for collection/picking of orders in order of priority, checking that all required items are on the pick list, ensuring that any special packing requirements from the customer or product-based requirements are passed onto the packing team, and that the packing team are aware of any customer specific requirements.
Responsible and accountable for maintaining comprehensive files and verifying paperwork held on file, taking ownership of file through to completion.
Responsible for arranging transport for delivered goods using department nominated freight forwarder or fast parcel operator. Responsible for obtaining the cost of freight at the time of booking and recording freight costs. For export orders, raise commercial invoice and packing list using Export Master. Confirm the origin of goods, that the correct values are on each line and that the both the SAP invoice and commercial invoice do not conflict. Responsible for raising other shipping documentation as required, including certificates of origin and dangerous goods notes.
Responsible for making contact with the business unit/customer for goods to be collected, advising the order is ready for collection and shipment weights and dimensions.
Responsible for SAP invoicing of orders where necessary. Will advise on terms of letters of credit where appropriate and presentation of documents required by letter of credit to bank where required.
Responsible and accountable for health and safety of self and others including but not limited to work colleagues and drivers on site. Wearing of appropriate health and safety workwear at all times where necessary, reporting any health and safety issues to line manager immediately, taking responsibility to report near misses.
Responsible and accountable for covering work for other team members when required
Responsible and accountable for obtaining quotes or actual costs for shipping and packing and adding to sales orders
Responsible and accountable for raising purchase requisitions for despatch and packing, liaising with purchasing where necessary.
Responsible and accountable for abiding by company policy & procedures
Maintains company export log, obtains customs entries and makes a positive contribution to the company’s readiness for internal and external audits.
Undertake all other reasonable tasks as required from time to time to ensure the smooth running of the business and in support of other members of the team.
Despatch and Export Admin Experience and Qualifications
Educated to GCSE level or above
Letter of credit experience (preferred)
Experience of working in an export or logistics environment (preferred)
Experience of dealing with customers
Experience of SAP or other ERP system
